About the Role
The Workshop Coordinator supports our educational retirement workshops held at venues along the Wasatch Front and ongoing tasks to support to marketing team. This role ensures each eventis professionally executed, on-brand, and provides an exceptional experience for attendees. The position is ideal for someone who is organized, outgoing, and committed to excellent client service in a team-oriented environment.
Key Responsibilities
· Make confirmation calls to registered workshop attendees to verify attendance and answer basic event questions.
· Prepare event folders and materials in advance, ensuring all handouts and resources are accurate and branded appropriately.
· Manage the event guest list, assist with check-in, and warmly welcome attendees as they arrive.
· Make speaker introductions and cover key housekeeping items with attendees
· Assist with loading, transporting, and carrying event equipment and supplies; must be able to lift 50+ pounds.
· Set up and take down all event equipment, including speakers, projector, presentation screen, standing banners, AV components, and other materials required by the venue.
· Prep, pack, and restock event materials in the office as needed between events.
· Provide your own reliable transportation to various restaurant and venue locations along the Wasatch Front.
· Attend every assigned event, typically between 4:00 pm and 9:00 pm,a pproximately eight evenings per month.
· Follow direction from leadership and complete any additional tasks necessary to ensure events run smoothly and reflectthe B.O.S.S. Retirement standards.
· Collaborate with the marketing and operations teams to continuously improve event logistics and attendee experience.
· Manage tasks designed to support the marketing team.
Qualifications
· Strong work ethic and a high level of personal accountability.
· Outgoing, friendly personality with a commitment to providing exceptional customer service to all event attendees.
· Ability to function well in a team setting and build positive working relationships.
· Detail-oriented, organized, and able to manage multiple moving parts in a fast-paced event environment.
· Ability to lift, carry, and transport 50+ pounds of equipment and supplies.
· Reliable transportation and consistent evening availability 2–4nights per month.
· Comfort with following established processes and procedures, while being flexible to adjust as needed.
Schedule: Full-time—Including approximately 8 evenings per month (Tuesday–Thursday), typically 4:00 pm–9:00 pm. In office attendance required with flexibility due to workshop schedule.
